Magna WebWorks (“we”, “us”) builds websites and handles marketing for small businesses in Harrisonburg and the Shenandoah Valley. This page explains what information we collect through magnawebworks.com, our quote form and our client portal, what we do with it, and the choices you have. We wrote it in plain English. If anything is unclear, email hello@magnawebworks.com.
The short version.
- We collect what you choose to send us, plus basic website visit data.
- We use it to answer your request, do the work you hire us for, bill you and improve our site.
- We don’t sell your information, and we don’t share it for other companies’ advertising.
- Your client files are kept in a private folder that only our team can open.
- You can ask us to see, correct or delete your information at any time.
1. What we collect.
When you fill out the quote form. Your name, business name, email and phone number, plus anything you choose to tell us: your business type, town, the services you’re interested in, your current website or Facebook page, a rough budget, when you want to start, your message, and any logo or photos you upload. If you check the consent box, we record that you agreed to hear from us by phone and email about your request.
When you email or call us. Your contact details and whatever you share in the conversation.
When you’re a client and use the client portal. Your login (email and password; passwords are stored encrypted, and we can’t see them), the requests you send, the files you upload (photos, videos, PDFs and other documents), your approvals or change requests on scheduled posts, and your plan and request history.
When you pay us. Payments go through Stripe. You enter your card or bank details on Stripe’s secure pages, not ours. We see only what Stripe shares with us, such as your name, the amount, the last four digits of a card and whether the payment went through. We never store full card or bank account numbers.
When you visit the website. Like most websites, our server keeps basic technical logs (IP address, browser type, pages requested and the time) for security and troubleshooting.
From our client work. When you hire us, you may give us access to your website, Google Business Profile, social media accounts or other tools. We use that access only to do the work you asked for. We’re added as managers or users wherever we can, so you don’t have to hand over your passwords.
2. How we use it.
- To answer your quote request and send your quote, audit and homepage mockup.
- To do the work you hire us for: building and hosting your site, handling your requests, scheduling posts you approve and preparing your monthly report.
- To send service emails, like request confirmations, post previews before each post goes out, reminders, invoices and receipts.
- To bill you and keep financial records.
- To keep our website and portal secure and working.
- To improve our website and services.
- To follow the law.
We’ll only send you marketing emails if you’ve asked to hear from us or you’re a client, and every marketing email has a way to unsubscribe.
Text messages: we don’t send text messages through this website today. If we add text updates later, we’ll ask for your permission separately and update this page first.
3. AI assistants and people.
We pair real people with AI assistants. The assistants help with routine work: drafting posts and replies, filing photos, checking that sites are up and putting together reports. To do that, some of your content (for example, the text of a request, photos you upload or your business details) may be processed by AI tools run by outside providers. A person on our team reviews the work before anything goes out. We use AI services from established providers on business terms, and we don’t give them permission to use your content to advertise to you or to train their models. We don’t put payment details or passwords into AI tools.
4. Who we share it with.
We share information only with the service providers that help us run our business, and only what they need to do their job:
- Hostinger (website and portal hosting)
- Google (Google Workspace email, Google Drive for client files, Google Sheets for our request log)
- Stripe (payments and invoices)
- AI service providers (see section 3)
- WordPress plugins that run on our own website (forms, client accounts, security, backups and caching). These run on our own server.
We may also share information if the law requires it, to protect our rights or someone’s safety, or if Magna WebWorks is ever sold or merged (the new owner would have to follow this policy).
We don’t sell your personal information, and we don’t share it with other companies for their marketing.
5. Your files and how long we keep things.
- Portal uploads are filed automatically in your own private Google Drive folder. Only our team can open it, and other clients can’t see your files.
- Quote requests from people who don’t become clients are kept for 12 months, then deleted.
- Files you upload in the portal are kept in a locked folder on our website that only our own file-sync can open, and copied to your private folder in our Google Drive.
- Client files and requests (your Drive folder and our request log) are kept while you’re a client. After you leave, we keep them for 90 days, then delete them. Before we delete anything, we email you a heads-up with a download link to everything we have for you. The heads-up goes out at least 14 days before deletion.
- Billing records are kept as long as tax and accounting rules require.
- Website backups roll over on a schedule, so deleted information can stay in a backup for a short time before it’s overwritten.
6. Cookies.
Our site uses a few cookies:
- Needed ones: to keep you signed in to the client portal and to make the site work.
- Speed: our caching tool may set cookies so pages load faster.
You can block or delete cookies in your browser settings. If you block the needed ones, the portal sign-in won’t work.
7. How we protect it.
The website uses https (SSL). The portal requires a login, and each client sees only their own account. Passwords are stored encrypted. Access to client files is limited to our team. No system is perfectly secure, but we take reasonable steps to protect your information, and we’ll tell you promptly if a problem affects your data.
8. Your choices.
You can ask us to:
- send you a copy of the information we have about you,
- correct anything that’s wrong,
- delete your information (unless we have to keep it, for example billing records), or
- stop sending you marketing emails.
Email hello@magnawebworks.com and we’ll respond within 30 days, and usually much sooner. We won’t treat you differently for asking.
9. Links to other sites.
Our site links to other websites, including our clients’ sites and our Facebook page. Their privacy practices are their own, so check their policies.
10. Children.
Our services are for businesses. We don’t knowingly collect information from children under 13. If you think a child has sent us information, email us and we’ll delete it.
11. Changes to this policy.
If we change this policy, we’ll update the date at the top. If a change is significant, we’ll tell clients by email before it takes effect.
